Write a supplier inquiry that produces a usable quote

An original inquiry template and a method for turning incomplete supplier replies into comparable offers.

Amazon Armenia editorial team · Updated · Original planning guide

A supplier can respond more precisely when your first message describes a clear purchase. Avoid starting with “send your best price” and a long list of unrelated categories. Choose one item and state the quantity range, packaged specification and destination you want quoted.

Provide enough detail to price the order

Include the material, finished dimensions, intended packaging, colour mix and whether branding is required. State that the first order is a trial if that is the case. Ask for prices at two realistic quantities rather than an aspirational volume you cannot fund. Request the production and dispatch lead times separately.

If the product will be sold through Amazon, say which marketplace you are evaluating. Ask what product documentation and invoice the supplier can provide. Check listing eligibility independently in your account. Do not turn an inquiry into a claim that approval, certification or a particular selling price is already guaranteed.

Copy and adapt this inquiry

Hello,

I am evaluating a trial order of [product and specification]. Please quote [quantity A] and [quantity B] with [packaging and colour mix]. The delivery destination to quote is [actual destination or preparation centre].

Please itemise unit price, preparation, sample cost and delivery. Confirm the minimum order per variant, production lead time, quotation validity and who issues the commercial invoice. Please share photographs of the actual item and packaging, the sample ordering process and written terms for damaged or incorrect goods.

This is an inquiry for comparison, not an order confirmation. Please list anything excluded from your quote. Thank you.

Resolve missing fields before negotiating

If a reply gives only the unit price, ask for the other cost lines using the same structure. If transport is “to be confirmed”, record it as an unknown rather than zero. When two replies use different shipping arrangements, ask each supplier to specify the destination and responsibility at every stage.

For example, supplier A may quote $4 per unit with packaging included while supplier B quotes $3.70 plus $0.50 packaging. B is more expensive before delivery is considered. A comparison table helps expose this difference without requiring a long negotiation.

Keep correspondence and commitments separate

Store the quote, specification, sample observations and unanswered questions together. A request for information should not accept a binding purchase or payment schedule. Review the final order and terms as a separate decision. If the supplier changes the specification or payment recipient, ask for a revised written quotation.

The community workspace can help you prepare a private inquiry draft. Drafts are stored on your device; they are not automatically delivered to a supplier. Use your own email application to review and send a message to the intended recipient after checking the details.
